Procedures and documents

The right procedure, already on the incident.

LIVEOP Documents keeps procedures, plans and points of attention in one managed library. Document owners decide which incidents each one belongs to, and when a crew selects such an incident, the matching documents are waiting at the top of their list.

Recommended for this incident

Nobody should have to search a library at the scene.

A document owner gives a procedure its conditions once: the incident classification it belongs to, a characteristic recorded on the incident, or an address. When a crew selects an incident that meets those conditions, the procedure moves to the top of their documents, and the selection follows the incident as it changes.

01Set the conditions

On each document, choose the incident classification, characteristic or address it applies to, with readable rules such as is equal to and contains.

02Match on the device

When an incident is selected, the field app checks it against every document’s conditions and places the matches in their own section at the top.

03Keep SharePoint the source

Linked libraries update when a new version is published in SharePoint, so crews read the version your organization approved.

Designed around the outcome

What makes the concept work.

01Every recommendation can be explained

A procedure appears because it meets a condition a document owner set, so anyone can see why it is there.

02Your SharePoint columns stay in charge

Folders and files follow the connected document library, and your own columns can decide what is synchronized, its category, its tags and its validity dates.

03Access follows LIVEOP security profiles

Libraries, folders and files carry information security profiles, enforced on the server, so each role receives only the procedures meant for it.

FAQ

Questions behind the topic.

Which incident details can a document be matched on?
The incident classification, characteristics recorded on the incident, and the address: street, number, postcode and city. A document can carry several conditions and is recommended when any of them matches.
Does LIVEOP write changes back to SharePoint?
No. Synchronization runs from SharePoint into LIVEOP, so SharePoint remains the place where documents are written and approved. Changes there are picked up automatically, and administrators can also start an incremental or full sync.
Are SharePoint permissions carried over?
No. Synchronized items take the information security profiles of the LIVEOP library they are placed in, so access follows the same profiles as every other LIVEOP document.
Can crews read documents without a connection?
Yes. The field app keeps document files on the device, so procedures remain available outside network coverage.
Can a document expire?
Yes. With a valid-from and valid-until date, a document is shown in the apps only within that period. Synchronized libraries can take these dates from SharePoint columns.
